| Minutes of Meeting | Report from the president Goodmorning everyone, We had an excellent installation yesterday, with a record of 185 attendees. The club admn team( under the guidance of Shashank) had taken tremendous efforts on all fronts, and surely it was seen. The Felicitations of PP was highly appreciated by the PP themselves and all others too. We inducted 5 lady rotarians and announcement of a new club formation at Lodha Belmondo with 40 charter members, was made. Thanks to Pramod Patankar and NCA PP Ranu. In foundation the first day commitment is 28000$ to APF. thanks to PP Vijay for getting a non rotarian donar for $5300 and foundation dir Savita for the other committments recd. Thanks to PP Anil Kulkarni and Rtn Jayashree who have agreed to become AKS members. IT dir Aarti had made a lovely installation invite and a ppt for the board. The venue and menu was very well loved by all attendees. A special thanks to IPP Jagmohan and Suhas for running their reports quickly so as to give enough time for the second half of the program. Pooja as MOC was rocking in her own subtle way. Sonali was on the laptop doing her work precisely. The day also saw 2 projects .A tree plantation drive headed by Ser dir Kamaljeet and blood donation camp headed by Dr Kadam. Jayant in absentia of Sheetal has managed for collection of fees 15 members,on the very first day. I will always look forward for support from Sect Keshav and PE Harbinder in the coming year. Metro rotarians teamed up at Garware college station for the first Metro train going to Vanaz. It was exciting to see the station go up to the train platform and finally board the train. There was no rush at all and we virtually had the train to ourselves. It was fascinating to see the part of the city from well above the road. After the ride back from Vanaz, we were taken to the control room and were told about the working of the metro. The metro outing was followed by a scrumptuos breakast at Shree Ganesh Hall. More than thirty rotarians attended the Metro ride! |

| Minutes of Meeting | The meeting started with Secretary Vinayak welcoming the board members and the invitees. All were informed about the motive of inviting for BOD meeting, aa senior club member for guidance and new or relatively new member of the club for making the member aware about the functioning of the Board. The idea was welcomed by all the board members. 1. Finalizing the budget for 2022 – 2023 for submission to AGM Treasurer Sachin presented the club budget for 2022 – 23 and gave an overview of revenue expected vs planned expenditure under different heading. He also updated the board on actual collection and expenditure recorded as on 30th June 2021 for the RY 2021 – 22. He updated that the club expenditure of 2021 – 22 was more by Rs. 37000/ - approx. than the collection of the year. The deficit was covered from the balance carried forward. The members approved the planned budget with minor changes for submission and approval of general body meeting to be held on 8th July 22 Friday at 7.30 pm. 2. Take review of the Club fees & trust contribution received so far and decide course of action to expedite the process for 100% collection by July 15th 2022. Treasure Sachin updated the board about the list of members who has paid the Club Fees and Trust contribution for RY 22 – 23 as on 30th June 22. It is decided that the board members will appeal members who have not paid till 30th June and ensure that all dues of the club are collected by 15th July 22. As suggested by President Abhay and agreed by the board that each Board member will be communicate with 2 – 3 members assigned to him or her and ensure that all club dues are collected by 15th July 22. The list of assigned members to each board member will be circulated by Abhay. 3. Discussion of the activities plan for July , August , September 2022 President Abhay updated the board about the planned activities for month of July 22 and the plan to finalize August & September activities by 2nd week of July. He informed the board the contribution by Secretary Vinayak in preparation of the plans. Board appreciated the efforts put in by Vinayak. 4. Plantation project on 2nd July 2022 President Abhay updated the board about the plantation project on 2nd July 22 and visit to the site on 30th June 22. Board was communicated that plants are delivered at the site and instructions are given for digging 50 nos pits at the site. 5. Distribution of School Kits to Sheth Hiralal Saraf Prashala , Budhwar Peth , Pune – Approval of budget. President Abhay communicated the board that there are around 100 nos School Kits are to be presented to the needy students at Sheth Hiralal Saraf Prashala , Budhwar Peth , Pune. The cost of each kit as communicated by District 3131 official Rtn. Mangesh Hande is Rs.550/ - . Board discussed about the contents of the kit and Rtn.Hemant suggested to recheck if the kits can be procured at lesser price. Rtn.Hemant will explore the possibility of procuring the kits at lesser price. 6. Part Distribution of E-Learning Kits and computers to Mohol Institution Schools in Maval – Approval of budget. President Abhay updated the board about the total need communicated by Mohol Institute for its 7 schools in Mulshi Taluka. The need is for 13 large E- learning kits costing Rs.27,500/ each; 26 Small E- learning kits costing Rs.14,160/- each, 1 Projector Costing Rs.37,000/- and 46 PCs. Apart from these items schools also need 2 cupboards and laboratory chemicals. The total cost E-learning kits, projector is approximately Rs.8 Lakh approximately. It was proposed that efforts need to procure good condition used PCs from Corporate for donating to schools, which will only incur transportation cost for PCs. As suggested by WINS Chairman PP Rtn. Ameya Club should plan for provision of e-learning kits and per the budget to few schools and as per the availability of good conditioned used PCs from donors. Also it is agreed by the board to explore the possibility of synergy project Rotary Club of Laxmi Road , who has funds earmarked for e-learning kits. For exploring the synergy project nitty-gritties , PP Rtn.Ameya has volunteered to meet PP Sandanand Bhagwat of Laxmi Road club with President Abhay during next week. 7. Discuss crowd funding method for raising funds President Abhay proposed that the club should explore the possibility of generating funds thru crowd funding and engaging crowd funding agency for the same. Senior Rotarian Pradeep Mulay recommended the idea . It was decided that the same can be explored with the involvement of Treasure Sachin so as to ensure the statutory compliances about the Trust funding are adhered to. It was decided to have a conference call with the Crowd Funding Agency representative involving Pres.Abhay , Treasure Sachin and some other members and then put up the matter for board approval 8. Acquaintance of Neelam Pathak is donating 7 to 8 cows / calves – need to evaluate their viability for donating to needy farmers on different parameters – assigning the members for the task. Board was informed about the availability for donation of 7 to 8 Cows / Calves at PP Rtn.Neelam Pathak’s acquaintance at village near Pen, Dist.Raigad. PP Ameya suggested that the cattle should be checked for it’s worthiness for donation to farmers . For this it is suggested that the expert services of NGO Disha, currently working with our club for Cow Donation Project should be availed against the required fees. The same will be done after getting complete details from PP Neelam. It is also decided if the cattle are donation worthy the same can be donated in and around Pen for this involvement of RC Pen should be explored. 9. Discuss the budget for yearly projects planned and current status of funds available and the amount need to be raised. Board was updated with the number of the projects planned for the year 22 – 23 and the approximate budget required for the same which is around Rs.65 lakh which includes the global grant project of Rs.33 lakhs. Considering current balance in Trust account which can be utilized for the year and expected Trust contribution of the members , it is concluded that an amount of Rs.20 lakh need to be raised for completion of all the projects planned. 10. Changing bank account signatories for club and trusts Treasurer Rtn.Sachin informed the board that the signatories for Club and trust bank accounts will be changed during next 10 days by visiting the Saraswat Bank , Ganesh Nagar Branch along with President Rtn. Abhay and Secretary Rtn. Vinayak. 11. Approving of new legal advisor for Trust statutory compliances Treasure Rtn.Sachin updated the board the progress made so far regarding meeting the pending statutory compliances of Rotary Club of Pune Pashan Charitable Trust by availing the services of legal advisor Adv. RAJE whose services were hired for lumpsum fees of Rs.60,000/- of which Rs.30,000/ - was paid. It is updated that the said legal advisor Adv.Raje has completed portion of the work, which is worth the payment of Rs.30,000/- made. However the said advisor Adv.Raje is non responsive and hence it is concluded that he is no more interested in completing the remaining pending work. Under this circumstances it is suggested by Treasure Rtn.Sachin to avail the services of another legal Advisor Adv.Charuta Soman who has required expertise and is ready to complete the pending work for a lumpsum fees of Rs.30,000/- . Board member approved to avail services of Adv.Charuta Soman for a lumpsum fees of Rs.30,000/-. 12. Rtn. Vivek informed the board about the interest of Mr.Anand Khanse to become member of RCPP and briefed the board about the information about Mr.Anand who is past Rotarian of Pune North Club. The board members suggested to invite Mr.Anand for a meeting of the club and then approve his induction as a member. The same was agreed upon. 13. Treasurer Vinayak informed the Board about the donation of Rs.10,000/- received from his RELATIVE Mr. Chandrakant Kulkarni on 1st July 22. The board appreciated the efforts made by Rtn.Vinayak in procuring donation for the trust. 14. The list of the members of the Club was updated on RI website by removal of Mr.Pranav Lunawat and Mr.Nitin Tapadia who have communicated the club of their inability to continue as Rotarian due to personal reasons. Thus the club total members strength stands at 49 as on end of 30th June 2022. The meeting ended with President Abhay and Secretary Vinayak thanking all the Board Members present and the present invitees for sparing their time and contributing to the proceedings of the meeting. |
